Privacy Policy

1. What we collect

To lodge a Ghana eVisa application on your behalf we collect the information the official government system requires:

  • Identity and passport details (name, nationality, passport bio page scan, passport-style photo).
  • Travel details (arrival date, flight and accommodation confirmations, address in Ghana).
  • Health documentation the government requires (yellow fever vaccination certificate).
  • Contact details (email, optional phone/WhatsApp number).
  • Supporting documents you upload (e.g. bank statement, host invitation) where required for your visa type.
  • Payment records (handled by Stripe — we never see or store your full card number).

2. Why we collect it

Solely to provide the service you've asked for: reviewing your documents, lodging your application on the official Government of Ghana portal, tracking it, communicating with you about it, and complying with our legal and accounting obligations. We do not sell or rent personal information, and we do not use your documents for marketing.

3. Where your information goes

  • Government of Ghana (evisa.immigration.gov.gh) — your application details and documents are submitted to the official immigration system; their handling is governed by Ghanaian law.
  • Cloudflare — hosts this website and stores your uploaded documents (R2 storage).
  • Airtable — holds our order records (your application details and links to your documents).
  • Stripe — processes payments.
  • Resend — sends our transactional emails to you.
  • Meta Platforms — only if you accept marketing cookies on our banner (see section 7); receives page-visit data via the Meta Pixel, never your application details or documents.
  • Google (Analytics) — only if you accept cookies on our banner (see section 7); receives anonymised page-visit statistics via Google Analytics, never your application details or documents.

These providers store data on servers that may be located outside New Zealand. We choose providers with strong security practices and share only what each needs.

4. Retention

We keep application records and documents while your application is active and for up to 12 months after a decision, to handle follow-up questions, disputes and re-applications — then we delete uploaded documents. Payment and accounting records are kept for 7 years as required by New Zealand tax law.

5. Security

Documents are stored under unguessable random identifiers, access to our systems is limited to the people who process your application, and payments are handled entirely by Stripe. No internet service can promise perfect security, but we take reasonable steps to protect your information and will notify you and the Privacy Commissioner of any breach causing serious harm, as the Privacy Act 2020 requires.

6. Your rights

Under the New Zealand Privacy Act 2020 you may ask to see the personal information we hold about you, ask us to correct it, or — once your application is complete — ask us to delete your documents early. Email support@ghanaevisa.org and we'll respond within 20 working days. If you're unhappy with our response you may complain to the Office of the Privacy Commissioner (privacy.org.nz).

7. Cookies and advertising measurement

This site sets no tracking cookies by default. When you first visit, a banner asks whether we may use two optional measurement tools:

  • Google Analytics — if (and only if) you click Accept, we load Google Analytics, which sets cookies that give us anonymised statistics about how the site is used (pages viewed, approximate region, how visitors found us) so we can improve it. IP anonymisation is enabled.
  • Meta Pixel — if (and only if) you click Accept, we load the Meta (Facebook) Pixel, which sets cookies that help us measure our advertising and reach people with similar travel plans.

If you click Decline, neither tool is loaded and no analytics or advertising cookies are set. Your choice is remembered in your browser; you can change it at any time by clearing this site's data in your browser settings, after which the banner will ask again.

Data collected by these tools (such as pages viewed and browser information) is processed by Google as described in Google's privacy policy and by Meta Platforms as described in Meta's privacy policy. We never share your visa application details, documents, or payment information with either — they only see page visits. Cookies that are strictly necessary for the site to function (such as remembering your consent choice) are always active.
